الوظيفي Job purpose
Reporting to the Director of Projects, the Project Assistant will be responsible for day-to-day operations and activities of the foundation. The primary responsibilities are ensuring organizational effectiveness by providing support and contribute to the development and implementation of organizational strategies, policies and practices.
المهارات - Primary Duties & Responsibilities
Attends project team meetings and takes notes on available project outlines/ resource materials, HR requirements, budgetary details, etc;
Visits the Community Social centers regularly for monitoring the activities and making sure the concept of (Community Based Approach) is followed;
Make sure the activity conducted in the community centers are according to proposal and according to the ToRs and Work plans that have been submitted;
Make sure the activities are conducted on time and a variety of IDPs are included;
Coordinates and organizes meetings and events when required;
Works with and maintains data management and filing for projects/program/marketing/events reports/etc;
Conducts research and provides support to one or more staff members in regards to project and programmatic efforts;
Supervise work study students and volunteers;
Contact and foster relationships with the stakeholders;
Submit regular detailed progress reports and bi-weekly reports with monitoring updates and trends seen in the field from individual interviews and focus group discussions to the project coordinator;
Supports the decision making process with ad hoc reports on specific matters and suggestions for the best solution in each particular case;
Archiving the documents making sure they are kept safe and easily retrieved;
Updating his/her performance on weekly basis to the Director of Projects;
Sending monthly report to the Project Coordinator;
Assisting the Project Coordinator in providing any support related to the project;
Represents Rwanga Foundation and Project Coordinator when needed or required;
Performs ad hoc duties as and when required.
Bachelor’s Degree or a High School Diploma or equivalent.
1. At least 3 years’ experience in Project Management;
2. Previous work experience in the related field is a strong asset.
Knowledge, Skills and Abilities
Exceptional verbal, written and presentation skills;
Ability to work independently and as a part of a team;
Knowledge in file management, transcription and other administrative procedures;
Previous work experience in the related field is a strong asset;
Ability to maintain the highest degree of discretion and confidentiality 6. Ability to work on various computer software applications.
Excels at operating, communicating in a fast pace community environment;
Open to suggestions, collaborative team work style and commitment to get the job done;
Ability to look at situations and find solutions from a broader perspective.
Monitoring & Reporting
Perform Project Management functions;
Safeguard all confidential files;
Report any issues that may affect the institution image;
Monitoring/Assessing performance to make improvements or take corrective action;
Prepare project reports to Direct Supervisor on monthly basis.
Frequent field trips to different regions.
Flexibility with regards to long working hours, especially in emergency situation
